Plan of Action - Installation Day

Plan of Action


The installation day for our exhibition is on Wednesday 12th February, we have created a plan of action in order for the set up to run smoothly and to schedule.
  • We will takes notes for the duration of setting up the exhibition, this will mean we will have a written record of the set up along with the visual time lapse.
  • Julia's partner will provide the camera for the time lapse purposes. Julia will be responsible for this as as the camera only records twenty minutes of footage at a time, she will have to press the record button every 20 minutes so we do not miss any of the set up. The time lapse will then be edited at a later stage. 

Schedule 


10am- Bianca and Julia have offered to arrive early in order to check the space is suitable for set up ie all the walls have been repainted white. They will also communicate with the previous group to see if there is any plinths, or pieces of art work we need to remain in the space. 
11am- Megan Wellings and Anna will arrive with any materials they have sourced.
12pm- Lunch Break.
1pm- The rest of the group is to arrive at this point. We may have to help the previous group to empty the space which will allow us more time to begin the installation.  If we have spare time then we can begin to collect rescourses and equipment such as rubber wire covers and ladders. We could also set up the camera ready for installation.
2pm- We will begin the installation.
  • Source table to be placed in the entrance of PS1 this will hold the bakes, flyers, press releases, wine glasses etc. The wine will be placed underneath the table. 
  • Everyone's belongings need to be put into the lockers so the space is clear and empty, this also lowers the risk of trip hazards.
  • Four people to hang the fishing wire, preferably feel comfortable on the ladders and have good knotting skills so the structure is secure.
  • The rest of the group is to source all the plinths from various rooms in the building. These then need to be placed on the edges of the project space. No plinths to be left in the doorway as this could create a fire hazard.
  • We then need to begin hanging the material from the fishing wire structure. Once the fabric has been roughly arranged it will need securing into place and so it hangs just above the floor which will reduce the risk of a trip hazard.
3-4.30pm- Continue installation.
  • A half an hour slot for several people to arrange the plinths in the centre of the space. We have to keep the time frame to a limit as it could takes ages for everyone to agree on the layout of the plinths. 
  • The rest of the group will begin to collect the various pieces of art work from the spaces. This will be a time consuming process. The work is to be placed along the sides of the project space where we are aware it is there and it is safe.
  • Once the plinths have been arranged we will begin to carefully place the work on the plinths beginning with the larger objects. This will allow us to assess whether we have too much work. This will require patience as everyone needs to be happy with the final arrangement. 
4.30-5pm- This is over spill time for if we go over our original allowance. 
5-6pm- Within this time we will set up sound and lighting. We will also set up the beverages and bakes. Perhaps get changed into smart dress for the exhibition private viewing. 
6pm- The private viewing begins. We need to welcome the visitors to our exhibition. And enjoy our opening night. 
7pm- Onwards from this time depending on how many people are still at the viewing, we will begin to tidy up the space, i.e, collect glasses, sweep the floor and return the table to its home.



 Private Viewing:

  • Julia will be on the door to count numbers and welcome the visitors and to ensure no wine leaves the project space.
  • Bianca will be on wine duty, she will pour the wine to ensure there is enough to last the opening night. 
  • We will also need someone on food duty to again ensure there is enough to last the duration of the night. 
  • Everyone who makes bakes needs to write a clear list of ingredients for allergy purposes.
  • Everyone also needs to read the document written about the artists to ensure we all have knowledge of the artwork that is in our exhibition.

Manning the Exhibition


Everyone needs to attend their allocated time slot. You are to arrive 10 minutes beforehand in order to ensure that the space is constantly manned by someone. If anything breaks, or goes missing while you are on duty it is your responsibility.


Deconstruction


The deconstruction will begin from 1pm we then have until 6pm to reinstall the exhibition. Everyone needs to work together to take down the material, remove the artwork and plinths. The space needs to completely reinstated in order for the next group to begin with a blank canvas.
